Request for Proposal: Provision of Photography Services

About inABLE

inABLE.org is a nonprofit organization based in Kenya with a mission to empower persons with disabilities in Africa through assistive technology. Over the past five years, inABLE has hosted the Annual Inclusive Africa Conference which has created a platform to promote the advancement of digital accessibility and assistive technology for persons with disabilities in Africa. The 6th Inclusive Africa Conference will be held on June 3rd – 5th 2025 in Nairobi, Kenya. This will be a hybrid event that will host 300 delegates in-person and with over 2,000 people livestreaming from across the globe.

Description

This Request for Proposal (RFP) document is intended to identify photography vendors that demonstrate sufficient capacity and experience in professional photography services to cover the Inclusive Africa Conference. inABLE is therefore soliciting from interested companies/individuals a request for proposal clearly showing the following:

• Proven track record of photography for corporate events or conferences.
• Current list of clients and partners where similar services have been provided. Provide name of client, scope on contract, number of photography staff, and start date of the contract. (at least 5 clients)
• Portfolio that showcases photography work for corporate events or conferences.
• Geographical presence i.e. the regions that the vendor has offices/presence. (Please provide any other additional information that inABLE should be aware of.)

Key responsibilities

• Create a visual plan for the photography, outlining shots, key moments that will be captured.
• Provide enough photographers who will attend and capture photos during the 3days of the conference which has 3 breakout rooms and an exhibition area.
• Capture and submit high quality videos from the pre-conference workshop on the 2nd of June 2025.
• Capture essential moments, including keynote speeches, panel discussions, breakouts, workshops, and networking sessions.
• Record additional B-Roll shots of the venue, audience reactions, branding, mingling during tea breaks and any relevant details.
• Capture pictures of individual Assistive Technology Innovators during the conference.
• Set up lighting to enhance visual quality and create a professional look.
• Edit and share all high-quality pictures captured throughout the three-day conference.

Submission process

Interested suppliers should submit their response to this RFP including a detailed quotation in soft copy addressed to vendors@inable.org not later than 20th December 2024 by 5 p.m (EAT).
