Job Description
The HR & Admin Coordinator will provide human resource management and administrative oversight for the Inclusive Africa Program. This role ensures compliance with HR policies, staff development, operational efficiency, and the smooth execution of administrative functions to support program implementation.
Program Brief:
The Inclusive Africa Program (IAP) is a transformative initiative designed to break barriers preventing youth with disabilities from accessing Africa’s digital economy. The program operates under four pillars: standards development, skills development, knowledge generation, and institutional environment enhancement. This three-year program (2025-2028) aims to implement Kenya’s Digital Accessibility Standards and harmonize them across Africa, fostering systemic change. IAP will also train youth with disabilities as Digital Accessibility Champions and host the annual Inclusive Africa Conference. in ABLE will partner with other stakeholders, including government agencies, non-governmental organizations, and private sector organizations.
Position Summary:
The HR & Admin Coordinator will provide human resource management and administrative oversight for the Inclusive Africa Program. This role ensures compliance with HR policies, staff development, operational efficiency, and the smooth execution of administrative functions to support program implementation.
Key Responsibilities:
1. Human Resource Management
- Develop and implement HR policies and procedures in alignment with the NGO and donor requirements.
- Oversee recruitment, onboarding, performance management, and professional development of staff and consultants.
- Ensure adherence to employment laws, diversity and inclusion policies, and workplace safety regulations.
- Manage staff welfare, including payroll, benefits administration, and conflict resolution.
- Conduct staff training and capacity-building programs to enhance team performance.
2. Administrative & Operational Oversight
- Oversee daily administrative functions, including office management, logistics, and procurement.
- Maintain records of contracts, agreements, and compliance documents for the program.
- Ensure efficient travel arrangements, scheduling, and coordination for staff and program partners.
- Work closely with the finance team to manage procurement processes, vendor contracts, and office budgeting.
3. Compliance & Risk Management
- Ensure compliance with organizational policies, donor regulations, and labor laws.
- Support risk management efforts by identifying and mitigating potential HR and operational risks.
- Ensure confidentiality and security of employee records and organizational documents.
4. Stakeholder Coordination & Team Support
- Serve as a liaison between program staff, management, and external service providers.
- Facilitate team meetings and ensure proper documentation of discussions and action points.
- Promote a positive workplace culture that enhances teamwork, inclusion, and productivity.
5. Monitoring & Reporting
- Maintain up-to-date records of staff performance, leave management, and HR analytics.
- Prepare monthly HR and administrative reports for management and donors.
- Track and evaluate the impact of HR policies and operational strategies on program success.
Qualifications & Experience:
Essential:
- Bachelor’s or Master’s degree in human resources, Business Administration, Organizational Development, or a related field.
- Minimum of 5+ years of experience in HR and administration within international development programs.
- Strong knowledge of Kenya’s labor laws, HR compliance, and international best practices.
- Experience with recruitment, performance management, benefits administration, and HR systems.
- Proven ability to manage administrative operations, logistics, and procurement processes.
- Excellent interpersonal skills with experience in conflict resolution, employee relations, and staff training.
Preferred:
- Experience working in NGOs, donor-funded projects, or disability inclusion initiatives.
- Familiarity with HR software, data management, and digital HR tools.
- Ability to work in a multi-country environment with diverse stakeholders.
- A professional qualification in HR with Membership to a relevant professional body
