Job Description
The Production Agency will be reporting to the inABLE management and will be responsible for audio-visual, live streaming, stage fabrication and lighting of the 2024 Inclusive Africa Conference.
About inABLE
inABLE.org is a nonprofit organization based in Kenya with a mission to empower persons with disabilities in Africa through assistive technology. The priority was the creation of a computer-assistive-technology program for blind and low-vision youth in Kenya to provide digital skills training to the disadvantaged youth. We envision a world where every individual has all-inclusive access to the same educational, technological, and employment opportunities.
Job Objective
The annual Inclusive Africa Conference will take place on May 14th- 16th, 2024 in Nairobi- Kenya. The expected number of in-person attendees will be 350 and 3,000+ online. The conference will host a number of simultaneous panel discussions among other activities. The Production Agency will be reporting to the inABLE management and will be responsible for audio-visual, live streaming, stage fabrication, and lighting of the 2024 Inclusive Africa Conference.
Key Responsibilities
- Live streaming production
- Offer livestreaming services including videography and technology.
- The technology used should feature sign language interpretation on screen and allow for live captioning on screen.
- Language translation in French and English.
- Audio-visual and lighting
- The vendor should have the latest and clear audio and visual equipment and technology.
- Should feature at least 150-200 LED panels on both sides of the stage.
- Lighting should be well distributed in all the conference rooms including the main stage and the breakout rooms.
- Branding and Fabrication on stage
- Provide seamless and user-friendly stage fabrication that should include a ramp and staircase on either side.
- A potable podium for speakers including those on wheelchairs
- 5 seats with stools for panel discussions
- Provide a section for entertainment on stage
- Provide a section for sign language interpretation on stage
- Stage should be well branded based on our specific guidelines
- Sound
- Provide enough handheld and lapel mics
- Provide quality sound in all rooms and during gala dinner
- Provide screen projections in all rooms allowing for sign language and live captioning
- Connectivity back-up
- Provide back-up internet connectivity to ensure smooth execution of the virtual event.
- Branding and fabrication (registration desk, innovation booths, signages, and banners)
- The Registration Desk
- Should be branded and clearly marked to guide participants where to register (Sponsor, Partner, Speaker, Exhibitor, and Delegate etc.).
- Provide an area for badge printing on-site.
- Sponsor booths (with provided branding guidelines)
- Spacious Innovators booths (with provided branding guidelines)
- Each booth should have a branded backdrop and invisible wires safely tacked away.
- An accessible platform
- 55” TV
- Logos in 3D
- Each booth should be 2m by 2.4
- Provide a chair and adjustable stands accessible to wheelchair users
- Pull up banners and signages
- Advise on all the required signages at the venue to improve the user experience
- The Registration Desk
- Branded Photo booth
- Should have Inclusive Africa and inABLE logos
- Provide a branded handheld frame/ board for photos
- Advise on media interviews placement
- Cocktail Reception and Gala Dinner
- Advise on the appropriate signages and branding during the gala dinner and cocktail reception.
Job Requirements
- A track record in successfully producing and handling audio-visual responsibilities of international, regional, and local hybrid events (in-person and virtual) from start to finish for a minimum period of five years.
- Demonstrated knowledge and experience in event production. Planning and coordinating pre-production and production of events for people with various disabilities is an added advantage.
- Strong teamwork with demonstrated verbal and written communication skills; ability to communicate efficiently and resolve any arising issues in a timely manner.
- Demonstrated expertise in disability-inclusive event design and implementation from before, during, and after production, with the ability to turn concepts and strategy into practical execution during an event.
- Detail-oriented with strong project management, teamwork leadership skills, planning, reporting, monitoring and evaluation skills across multiple production activities taking place simultaneously.
- Strong leadership skills.
- Proven exceptional user experience in previous events.
- Shown ability to execute the production of events to completion on time, within budget, and with the anticipated results.
- In-depth knowledge of disability, equity and inclusion best practices is an added advantage.
- A detailed understanding of the support systems and networks required to successfully complete an event.
