Job Description

The Events Management Agency will be reporting to the inABLE management team at the Inclusive Africa Conference. The Events Management Agency will be responsible for the overall coordination of the Inclusive Africa Conference from planning to execution and post analysis and reporting.   This is an eight-month role.

About inABLE  

inABLE.org is a nonprofit organization based in Kenya that was established in 2009 with a mission to empower Persons with Disabilities in Africa through computer assistive technology. Our mission is to empower Persons with Disabilities in Africa through assistive computer technology. The priority was the creation of a computer-assistive-technology program for blind and low-vision youth in Kenya to provide digital skills training to disadvantaged youth. We envision a world where every individual has all-inclusive access to the same educational, technological, and employment opportunities.  

Over the last decade, inABLE has set up eight computer assistive technology labs at special schools for the blind and visually impaired across Kenya. To ensure everyone has access to information on the Internet, inABLE collaborates with partners on training, evaluation, research, advocacy, and policy projects related to digital accessibility. inABLE also hosts the annual Inclusive Africa Conference as an awareness platform to promote the advancement of digital accessibility and assistive technology for persons with disabilities in Africa. The Conference hosts an African center for incubation, creation of innovations, and investments of assistive technology innovations under the Assistive Technology Village. In 2022, inABLE led the development of Kenya standard KS 2952: Accessibility ― ICT Products and Services. A first in Africa!  

Key responsibilities  

  • Provide overall event planning services  
  • Coordination of all suppliers and event planning team.  
  • Ensuring that the venue set up is up to standards and is accessible.  
  • Coordination of all the logistics including accommodation, travel documents, booking of flights and transportation.  
  • Coordination of all pre-conference activities including workshops and site visits.  
  • Advise and coordinate food and beverage with the hotel for the whole event including the working team and the guests, cocktail reception, and gala dinner.  
  • Coordinate speakers and participants to ensure smooth flow of the event  
  • Ensure a smooth flow for all delegates from arrival, registration and departure  
  • Handle VIP guests i.e., government officials and observe all required protocols.  
  • Monitor the agenda to ensure all speakers, influencers and innovators don’t miss their sessions.  
  • Coordinate the activities at the AT Innovation Village and ensure a smooth flow of events.  
  • Work with inABLE to ensure all the stakeholders are well taken care of including sponsors, partners, innovators, influencers, government officials, and delegates.  
  • Submit all the required reports a week after the event.  

Job Requirements  

  • A track record in successfully coordinating and managing in-person events from start to finish for a minimum period of ten years.  
  • Demonstrated knowledge and experience in event management. Planning and coordinating events for people with various disabilities is an added advantage.  
  • Strong verbal and written communication skills; ability to write clear, structured, articulate, and persuasive communications.  
  • Demonstrated expertise in disability inclusive event design, implementation, monitoring and evaluation, with the ability to turn concepts and strategy into practical activities during an event.  
  • Detail-oriented with strong project management, teamwork leadership skills, planning, reporting, monitoring and evaluation skills across multiple activities taking place simultaneously. 
  • Strong negotiation skills.  
  • Shown ability to lead projects to completion on time, within budget, and with the anticipated results.  
  • Demonstrates strong relationship building skills with a strong presence in coordination with several vendors and partners.  
  • In-depth knowledge of disability, equity and inclusion best practices is an added advantage.  
  • A detailed understanding of the support systems and networks required to successfully complete an event.
